Marking attendance

Marking takes about a minute. The parts people get wrong are naming who taught, and knowing what to do when a roll comes back. This page covers everything a tutor sees, in the order you meet it.

Signing in

Open tutor.contour.com.au. There is no sign-in page and no separate password: the portal sends you straight to Google, and you choose your Contour Google account. Only Google accounts are accepted. You stay signed in for weeks at a time; if your sign-in lapses, the portal says so and takes you back to Google.

If you see "You do not have an account on the attendance app. Ask Academic Coordination or Yatta to set one up for you.", your address hasn't been added to the directory yet. Having a Contour Google account is not enough on its own. If you picked the wrong Google account, press Sign in with a different account.

While the portal is rolling out

Until the portal opens to everyone, only a small test group can sign in at tutor.contour.com.au. Everyone else sees the message above even though they are in the directory, and keeps marking in the current attendance app for now.

A role change takes a few seconds

If an admin changes what you can see, it reaches you within about 15 seconds. Reload the page.

Finding your way around

The header has the sections you can open. A tutor sees Today, Classes, Announcements, Reporting and Me; other roles see more (see the tour). Reporting shows a tutor their own marking only.

Find a classThe search box in the header, or ⌘K (Ctrl K on Windows) from anywhere. Type a class code, subject, campus or tutor name; your own week's classes match straight away and, from two characters, every class you can cover. ↑ ↓ to move, ↵ to open the roll, Esc to close.
Light and darkThe moon or sun button. The portal starts in light mode and remembers your choice on that browser.
Account menuYour photo and name, top right: the Contour learning portal, this documentation, Install Tutor Portal where your browser can, and Sign out of Google.
The bannerSometimes one line runs across the top of every page: something everyone needs to know, set by an admin. It can carry a link. Press ✕ to close it; that is remembered against your account, so it stays closed on your phone too. A new banner shows again even if you closed the last one.
AskThe Ask button, bottom right, answers questions from this documentation. It cannot see your classes or rolls, so ask it how something works rather than what happened to a particular class.

On a phone

Every page works on a phone, and most tutors mark one-handed. The section tabs move to a bar along the bottom with the first four sections and a More button for the rest, so a tutor finds Me under More. The bar steps aside on a roll, where the submit bar takes the bottom of the screen.

Today

The portal opens on Today. It greets you by name with the date and teaching week, tells you how many classes you have today and how many are still to mark, and, when one of today's classes is still yours to mark, shows it as Next class with Mark, Join Zoom, Booklets and the Host key.

Needs you lists what is waiting on you, each with a button straight to the roll:

Today's classes lists each class with its time and a label: To mark, Overdue, Came back, Marked, or View only for a class you can open but not mark, with Open attendance or Review. This week is a strip of the seven days with a dot per class, coloured by the legend under it: Marked, Awaiting Campus, Needs you or Upcoming. All classes takes you to Classes. Beside it is the marking leaderboard.

Your week

Classes opens on This week: the current teaching week, Monday to Sunday, drawn as a timetable. Each class sits where it actually runs, from 10am to 9pm (wider if a class falls outside that), with its code, time and campus, coloured down the side by subject and filled by the same four statuses as the Today legend. Click one to open its roll.

The heading reads Assigned to you with a count. A class is assigned to you when the Monday board names you as this week's primary or secondary tutor, or an admin has assigned it to you directly. A cover entered on the Monday board for the week moves the class to the covering tutor's list.

Last week's roll is still here if it needs you

The week is this week only, with one exception: a roll from an earlier week that came back to you stays on your list, so it can't vanish on Monday. Anything else older, including a class you started marking but never submitted, is reached through Find a class.

My class isn't listed, or I can't see it

"I don't see my class here." "My class isn't showing." "How do I mark a class that isn't here?" All the same question, and the answer is almost always the same: the class is not missing, it is just not on your list. You can still mark it.

Use Find a class. Type the class code, the subject, the campus or the tutor's name, open the class and mark it exactly as you would your own. You do not have to be the rostered tutor, and you do not need anyone to add you first.

Then it is a timetable problem, not an app one. Ask an admin: the class has not been created on the Monday board, or has been archived.

So: search before you ask. An admin can only help with the last row, and every other row you can fix yourself in about ten seconds.

How to mark a class that isn't showing on your page

Same answer: Find a class, search the code, open it, mark it. The roll is the same roll. The app records that the roster named someone else, and if Campus Experience agrees with you it raises a roster correction rather than counting it against you.

Opening a roll

The top of a roll shows where you are (Classes / Monday / code / Week 42 - date), the subject, when and where it runs, and the tools for the class:

Under them is the count so far (13 of 13 students marked, with how many in-person, online and absent) and a progress bar. A banner above the roll tells you when something is unusual: the roll is for an earlier week than the current one, the student list is from a saved copy because the CRM is slow, or the roll is read-only.

Marking the roll

Every student needs exactly one of three:

Tap the mark again to clear it. On a keyboard, ↓ or J and ↑ or K move between students, and a mark key marks the student you are on and moves to the next. The keys work whenever you are not typing in a box.

Quick mark, at the right of the toolbar, sets everyone at once: Clear, All in-person, All online or All absent. Mark everyone in-person first, then change the handful who were online or away: that is the fastest way through a full class.

Quick mark never overwrites a mark you chose

It fills empty rows and rows set by an earlier quick mark, but leaves any student you marked by hand alone. Clear is the exception: it empties everything. Bulk-marked rows are tinted so you can see which ones to check.

The toolbar

Above the students, from the left:

Refresh studentsThe circular arrows. Re-reads this class's student list from the CRM, and tells you if anyone was added or removed. If you have marks you haven't submitted, they are kept and it asks you to reopen the class to load the new list.
ListRoomy rows with each student's history, badges and homework. The default.
CompactOne thin line per student, so a large class fits on the screen. The buttons shrink to IP, O and A.
FocusOne student at a time with big buttons, moving on to the next as soon as you mark. Good on a phone in a busy room.

Your choice of view is remembered on that browser.

What each row tells you

Your marks are kept while you work

As you mark, the portal keeps a draft in that browser: marks, homework, walk-ins, the tutors and the reason. Close the tab and reopen the class within 12 hours and it comes back (Restored unsubmitted attendance from your last visit.). A draft is not on your other devices, and it is not a submission: nothing reaches anyone until you press Submit. Leaving a roll with unsubmitted marks asks you to tap again to confirm.

Who taught the class

Under the class details are two fields: Primary tutor and Secondary tutor(s). Both have to be answered before you can submit. This is the part people skip, and it matters most after the marks themselves.

The fields start empty on purpose: confirming a value that was already filled in is not a confirmation. The tutor on the roster is offered first, marked on record, and the primary shows a green Rostered tag when it matches the roster. If you already confirmed the pair on an earlier submission of this roll, it comes back filled in. The same person can't be both primary and secondary.

Three things depend on this being right:

Name the person who taught, not the person on the roster

If you covered for someone, put yourself as primary. If someone covered for you, put them. Picking the rostered name because it is offered first is what creates the disagreements that bounce back.

You can correct who taught when you amend a roll, even after it was approved. The new pair is compared with Campus again, the same as a changed count.

Submitting

The bar along the bottom of the roll holds everything you need to finish:

  1. Mark every studentThe ring fills, and turns into a tick at 100%.
  2. Tick the review boxI've reviewed every student, including bulk-applied rows. It appears once everyone is marked. Changing any mark unticks it.
  3. Confirm who taughtA sentence names the pair, for example I confirm that the primary tutor is Sam Lee and there is no secondary tutor. Tick it. Changing either tutor unticks it.
  4. Press Submit attendanceA window shows the totals and who taught. Keep editing to go back, or Submit attendance.
  5. Attendance savedThe confirmation shows what was sent, with Review or amend and Back to my classes.

If something is missing, pressing Submit tells you exactly what: One student still needs a mark., Choose who taught this class., Choose a secondary tutor, or N/A if nobody assisted., Confirm the primary and secondary tutors are correct., or, when you have reopened a submitted roll, nothing has changed.

A class can't be marked before its day. Open one early and the roll is a preview (This class has not run yet. You can see the roll and check who is enrolled; marking opens on the date), and the server refuses a submission for it too. On the day itself you can mark it at any time.

If saving fails, your marks stay on the roll and in this browser's draft. Try Submit again shortly.

Your marks are stored one record per student, each with its own revision history. That is why an amendment changes only the students you changed, and why the audit trail can show exactly what changed and when.

What happens next

Campus Experience counts the room independently, without seeing your numbers, and the system compares the two. On a match it is approved and written to the CRM on its own. No person approves your roll: when the confirmation says submitted for Campus Experience approval, it means waiting for the Campus count to match, not for someone to sign it off. So a roll that hasn't moved is waiting on the count, not on someone's attention. If Campus had already counted and your roll matches, it approves the moment you submit.

When a roll comes back

A roll comes back when your marks and the campus count disagree. You'll see it on Today (came back from Campus), as Rejected on the class, and as a Sent back banner at the top of the roll, by the system, listing exactly what differs:

Only four things are compared:

Absent is never compared. Campus can see who was in front of them, not who was expected, so absences are yours alone.

Fixing it

Your marks are all still there. Check the roll against what the banner says: two in-person students you marked absent show up as a difference of two. Change whatever is genuinely wrong and submit again.

If your corrected roll now agrees with the count Campus already gave, it approves on the spot. If it still differs, the class reads Submitted · awaiting Campus count and goes back to Campus for a fresh count, because their earlier one was taken against your roll as it was. Either way it stops sitting on you.

Do not just resubmit the same numbers

There is no limit on how many times a class can come back, so resubmitting an unchanged roll simply sends it back again. Work out which side is wrong first. If you and Campus cannot settle it between you, ask an admin to resolve it.

Whose mistake it was is worked out from which side changed its numbers, and only a headcount mistake that was yours affects your leaderboard score. See Whose error it was.

Changing a roll you already submitted

Reopen it with Review on the class, or Review or amend on the confirmation screen, change what is wrong and submit again. A Reason for correction box appears on a roll that has already been submitted. It is optional, but fill it in: a mark that already reached the CRM is being corrected after the fact, and the reason is kept with it.

There is no deadline for amending. Amending a roll that had already agreed with Campus does not reject it: if your change still matches their count it re-approves on the spot; if not, the class goes back to Campus for a fresh count and reads Submitted · awaiting Campus count until it arrives.

Two things stay fixed however many times a roll is amended:

If you forget: the reminder text

If a class of yours is still unmarked 1 hour 15 minutes after it started, you get a text message with a link to that class, asking you to mark it and to mark within the first 15 minutes from now on.

Limits worth knowing, so a text that never arrives does not read as a fault:

The target is still the first 15 minutes. The text is a backstop, not the deadline, and Reporting counts anything after 15 minutes as late.

Covering someone else's class

You do not need to be rostered on a class to mark it. Open Classes › Find a class, or use the header search from anywhere.

The app records that the roster named someone else, and if Campus agrees with you it raises a roster correction rather than flagging you.

Reading a class card

Search results are cards. Each shows the class code, a status, the subject, the date, time and campus, the tutors when it isn't yours, and the counts once it is marked (12 IP · 3 ON · 1 AB). The button at the bottom says what you can do: Open attendance, Review, Submitted · awaiting Campus count, Check and resubmit on a roll that came back, Preview · marking opens a date for a class that hasn't run yet, or Read-only · contact coordination. A class that is overdue has · overdue after its status. A small M or H beside the code says whether it is a Monday or a HubSpot class, but only for people who can see both.

Homework, walk-ins, future trials and Google Meet

Homework

Where homework marking is switched on, each student you mark in-person or online gets Log homework: Complete, Partial or Not done (tap again to clear). It isn't offered for walk-ins, future trials, or students whose status is Trial Missed or Trial Organised, and marking a student absent clears it.

Notify guardian switches on as soon as you choose a status. You can switch it off for Partial and Not done; for Complete it stays on, because there is no silent Complete. Homework is submitted with the roll. On Monday classes it is written to the Monday board after the attendance, and that is what sends the guardian their message.

Walk-ins

A student in the room who isn't on the roll can be added with the box above the toolbar, Search a student not on the roll by name or email…. Type at least three characters; it searches other students of the same subject, and Add puts them on this roll as a walk-in without changing their own class. Mark them like anyone else before you submit.

A student who isn't enrolled anywhere

You can't add a brand-new student from the roll yet. Tell an admin, who can set up their enrolment, then add them. Don't mark someone else in their place.

Future trial students

Students whose trial is in a later week are listed under the roll as Future trial students. You don't need to mark them. Mark one only if they came early.

Google Meet

For a class with a Google Meet link (Zoom rooms have no attendance feed), where Meet matching is switched on, the roll shows who is in the meeting and how many it recognises from the class. Match to roll offers to mark the recognised students online. They are suggestions: they only fill empty rows, never override a mark you set, and can be undone. If Meet and your roll disagree when you submit, it asks you to check, and you can still Submit Anyway.

Reporting a problem with the class

Report an issue is on every roll, and in the footer. You are the only person who knows the booklets were short or the projector is dead, and saying so used to mean leaving the app, so it was said in Slack or not at all.

Pick what kind of issue it is. Each kind goes to the team that can actually fix it, and the app tells you which one when you send it.

Everything except a printing issue needs a short note saying what happened. A printing issue describes itself, so the note is optional there.

A printing issue

Say whether it was Underprinting (too few, the default) or Overprinting, then tap every booklet type that was out and give an amount for each. One report can name several booklets, and each becomes its own line on the sheet, because that is what the ordering process counts. The amount can't be more than the number of students on the roll: a class of 12 can't be 40 booklets short, and this number feeds a print order directly.

If the booklet isn't one of the codes offered (WB, HW, TEST, WS, SAC, CC unless an admin has changed the list), tap Other, type what it was (up to 24 characters) and give the amount. Say what it actually was rather than putting it in the notes, where the ordering process won't see it.

What happens after you send it

Your report is recorded the moment you press send, before anything is emailed or written to a sheet. If the sheet or the helpdesk is unreachable the app still says Reported, because it is, and a sweep every ten minutes carries the delivery. So don't file it again if the wording says "shortly".

The room comes from the class registry

A class with no room recorded produces a ticket saying the room is not recorded rather than guessing one. Campus Operations will ask you; it is quicker to add it to your note if you know it.

The weekly leaderboard

Titled Marking leaderboard. It is on Today, with the top three and your own row, and as a 🏆 Leaderboard button with your points at the top right of Classes. It is built from the rolls you already submit, so there is nothing to opt into.

How the score works

Score = classes marked on time × classes matched. The i beside the title gives a short summary in the app; the table below is the exact rule.

HalfWhat counts
On timeYou submitted within 15 minutes of the class's scheduled start. Measured from your first submission, so amending a roll later never costs you the point.
MatchedThe roll agreed with the Campus count. If it came back, you keep the point when it was Campus that corrected their count, or when the only disagreement was who taught. You lose it when the counts disagreed and it wasn't Campus that corrected theirs: you changed yours, you both did, or an admin had to settle it.

It multiplies rather than adds, and that is the point: both halves have to move, so marking more classes on its own doesn't raise your score. Twenty rolls marked late and wrong scores nothing. The credit goes to whoever actually filed the roll, not whoever was rostered, so if you cover a class and mark it promptly, the points are yours.

A score of zero is not a verdict

A roll still waiting on the Campus count hasn't matched yet, so it counts for nothing until it does. That is the process working, not a mark against you. The two counts sit beside the score so you can see which half is still moving.

Streaks

🔥 N in a row is your run of rolls marked on time, most recent first. It carries across weeks and only ends when a roll is late. It is counted over the last 12 teaching weeks, so it is often bigger than this week's counts beside it, and it shows from two in a row upwards. A class whose start time can't be read neither extends nor breaks it.

What you see

The week, and Mondays

The ranking is one teaching week and resets every Monday; streaks don't. At the start of a new week, Classes shows a one-off note with last week's overall winner, and the winner of the subject you marked most classes in. Close it with Let's go and it won't come back on that browser until next week.

Me

Me is your own page: your name and role, how many classes are yours this week, and your subjects and campuses.

My sit-ins

A sit-in is a leader observing one of your classes and scoring it against the five teaching pillars. They are written in the tutor dashboard and mirrored here, and the section says when it was last read.

The scaleEvery score is out of 4, never a percentage: 1 needs attention, 2 progressing, 3 proficient, 4 advanced.
At a glanceHow many sit-ins you have had, your latest average and whether it went up or down, and the wins and focuses from the latest one. When you last were observed, by whom, in which class, with a link to the printed card.
The radarYour average on each pillar, latest against the one before. Each ring is one level.
Proficiency by strategyEvery strategy under each pillar, one square per sit-in, oldest first.
Wins and growth areasWhat went well and where to grow, from the most recent sit-in, in the leader's words.
Your reflectionWhat you wrote about the session.
Coaching suggestionsNotes taken during the class, with the time and the booklet page.
The journey so farYour average over time, and one line per sit-in with the change since the last.

Your record refreshes on its own when it is more than six hours old. If a leader has just sat in on you, Check for a new sit-in fetches it now. Until anyone has, it says Nobody has sat in on you yet.

A Team Leader or Head also gets a My team tab: everyone who reports to them, with how many have been observed and the average, filters for No score yet, Below 2, 2 to 3 and 3 and above, and each person's full record. You can open anyone below you in the org chart, and nobody else.

Installing the app on your phone or Mac

The portal can be installed so it sits with your other apps instead of being a tab you have to find. It is the same portal either way: the same sign-in, the same classes, the same marking.

Open the account menu (your photo and name, top right) and look for Install Tutor Portal, or use the same button at the top of your Me page. What happens next depends on your browser.

The menu entry isn't there

Three reasons, in order of likelihood. It is already installed, and you are reading this in the installed app. You are on a browser that can't install a web app, such as Firefox. Or the browser hasn't decided the page is installable yet, which resolves on a reload.

The portal needs a connection. It keeps nothing offline except the draft of a roll you are marking.

Telling us when you're free to teach

Not open to tutors yet

Availability is being switched on in stages. For now only admins can open it, so the menu entry, the Tell us when you can't teach prompt and the page itself are hidden from tutors. This is how it works once it opens.

Open My availability from the account menu or the Me page. The page is titled When I'm free to teach, and every class time starts green, meaning free, so most people have very little to do: you only change the times that are not true. Each change saves on its own a moment later, and the line at the top says when it last saved (or Not saved, with Try again).

The calendar has days across and the clock down the side, with a tile for every time a class runs in your state, worked out from the real timetable, plus the weekend Workshops block. You can't change the times, because the timetable decides them. Pick your state first (Victoria, New South Wales or Queensland), so you are only asked about the times that run where you work.

The three answers

Tap a time and a small window opens, named for the day and time:

Free at selected campusesYou can do it, but at fewer campuses than usual, just for that time. The tile stays green, with a faint stripe. Tick them all back and it is "free at my campuses" again; untick every one and it is "not free".

Campuses I can get to, above the calendar, is what "free at my campuses" means. Untick a campus you can never reach and every time in that state stops offering it, in one go. Your week stays green, because you're still free; it just says where. Online is offered everywhere.

Two weekly patterns, and one-off dates

If you also cover consult shifts, there is a second calendar behind a Class times / Consult shifts switch, and you answer both. Consult shifts are two blocks on weekdays, 5:00–7:30pm and 7:30–10:00pm, and four on Saturday and Sunday, 10am–1pm, 1–4pm, 4–7pm and 7–10pm.

Who sees it, and who can fill it in

You, anyone above you in the org chart, and admins. Your leader can fill it in with you, and the page says so the whole time it is open: every save is recorded against your account with the time and the name of whoever pressed it. Everyone gets Find a tutor, to see who is free for a day, time, campus and subject: a tutor sees tutors in their subjects, a leader their team and subjects, an admin everyone. Only leaders and admins see phone numbers and get the export.

Statuses you will see
