For Campus Experience
Campus counts
You count the room and name who you think taught. You do not see the tutor's marks, and you are not approving their work. Your count is one half of a comparison the system makes, and it is the reason a roll can be trusted without anyone checking it by hand.
Why you can't see the tutor's numbers
A check you can see the answer to is not a check. If the tutor's count were on screen, entering the same number would be the path of least resistance and the whole exercise would confirm nothing.
So the board gives you the class, the time and the campus and nothing else. This is enforced on the server: the count board and the count window never receive the tutor's marks or totals, so there is nothing to find there even if you went looking. Don't look the class up in Find a class before you count: search results carry the roll's totals.
There is no Approve or Reject button for a class. You enter what you counted. The system compares and decides. If a class goes back to a tutor, that is the comparison, not a judgement you made.
The Campus counts board
Open Campus in the header. It is there for Campus Experience accounts, admins and owners. The page is titled Campus counts.
Classes are grouped by when they ran: a heading for each date and start time, for example Thursday 24 September · 3:45 PM, then one row per class with its subject, class code and campus. There are no counts, no marks and no tutor names on the row.
| The row shows | Button | Meaning |
|---|---|---|
| No label | Enter count | The tutor has submitted their roll and there is no count from you yet. This is the normal case. |
| Count again (amber) | Enter count | The tutor changed their roll after this class was counted, so that count was set aside and a fresh one is needed. See When the two sides disagree. |
| Counts disagree (red) | Amend my count | Your count and the tutor's roll were compared and differ. Both sides can look again. Admins also see Resolve as admin. |
A class that has reconciled leaves the board. The tutor always goes first: a class only reaches you once its roll is submitted, so an empty board means nobody is waiting on you yet, not that the app has lost something. With nothing to count it still reads Campus counts, says Nobody is waiting on you, and fills through the day as rolls come in.
Filters
The same filters drive the board and the Needs follow-up list. There is no refresh button: the board re-reads when you open the Campus tab, and Needs follow-up refreshes itself.
Needs follow-up
The right-hand list is a different job: classes that have started and have no roll at all. You chase the room for these rather than count them. Its line reads Classes started 15+ mins ago with no tutor roll submitted.
- What is listed: this teaching week's classes on the Monday.com timetable, from Monday up to today, at your campuses, that started at least 15 minutes ago, with nothing submitted in the app and nothing marked on the Monday board. Archived classes are left out, and the list stops at 200.
- The badge reads N min overdue, then hours and minutes, then days and hours, and turns red from 20 minutes. It counts forward on its own between refreshes.
- Refreshing: about every two minutes while the Campus page is open, and straight away when you come back to the tab. Nothing is polled while the tab is hidden.
- Rows show the class code, subject, start, campus and room where the room is known. They are a list to act on, not links.
When it is empty: Every class that has started this week has a roll in. When a filter empties it: Nothing outstanding at that campus or filter.
Entering a count
Press Enter count. The window is titled Campus count, and it tells you whether the tutor has submitted (You are not shown it. Enter what you counted and the system compares the two.).
- Count the roomIn-person students and Online students, separately. Whole numbers from 0 to 400; both start at 0.
- Name who taughtThe Primary tutor is required. The window fills in the tutors from the timetable and says Prefilled from the timetable. Change it if someone else taught. Change it to whoever you actually saw. Add Secondary tutor(s) only if there genuinely were any: up to five, or Nobody else assisted.
- Submit countThe comparison runs straight away. The tutor's roll is already in, which is why the class is on your board, so you find out on the spot.
A class with an online room has a Zoom link in the corner of the window, so you can look in on the online students.
Amend my count opens the same window titled Amend your Campus count. It starts from your previous numbers and tutors, says This replaces your revision N, and the button reads Submit amended count.
| You see | What happened |
|---|---|
| Counts match. Attendance is approved and queued to the CRM. | Both sides agree. The class leaves your board and the roll goes to the CRM on its own. |
| The tutor marked 12 in-person, you counted 14. | They disagree. The row turns to Counts disagree and the tutor is asked to check. The message names the first thing that differs, phrased for you. |
Count what you saw. If you believe the tutor's numbers will differ, that is exactly the case the process exists to catch, so enter your figure rather than the one you expect to match.
After a disagreement the result message tells you the tutor's figure for the field that differs, because you need it to decide whether to look again. So a count is independent until the first comparison, not after it.
If you submitted any of the attendance for a class, you cannot then supply the independent count that clears it (You marked this roll, so you cannot also provide the independent Campus count.). Admins and owners are not stopped, but a count like that is recorded under its own audit action and raises a warning on Admin › Health, so those classes can be found later.
What gets compared
| Field | Compared? |
|---|---|
| In-person count | Yes. Your total against the tutor's in-person marks. |
| Online count | Yes. Your total against the tutor's online marks. |
| Primary tutor | Yes, always. An unnamed primary on either side counts as a difference. |
| Secondary tutor(s) | As a set, and only when at least one side named somebody. The same people in a different order is not a difference, and a class that genuinely had no secondary tutor is not a permanent mismatch. When the tutor answered "nobody assisted", that answer stands. |
| Absent students | No. You can only see who turned up, not who was expected. |
All of them have to agree. One student out on the in-person count sends the class back.
When the two sides disagree
- Both sides are toldYour row reads Counts disagree. The tutor's class reads Rejected, their Today page says it came back, and the roll opens with a Sent back banner listing each field that differs, phrased for them.
- Either side looks againThe tutor checks their roll; you can press Amend my count. Agreement clears it, whichever side moves.
- A class can come back to youWhen the tutor changes their roll after a comparison and it still differs, your earlier count is set aside, because it was taken against the roll as it was. The class comes back to your board marked Count again, and the count window says why and starts from zero. The same happens if a tutor amends a roll that had already matched.
- Repeat if it needs toThere is no limit and no escalation. A class stays in disagreement until the two sides agree.
If a tutor's amended roll matches the count you already gave, it reconciles immediately and never comes back to you. Resubmitting identical numbers is not a new attempt: the app only records a round when the evidence on one side has actually changed.
Resolve as admin
If a class genuinely cannot be settled between you, an admin can release it with Resolve as admin on its row, at any point. It asks Why is this being approved?, needs at least 10 characters, and records that reason against every mark it releases, because it releases the tutor's roll without an independent match. That is a deliberate act by a person, not something the app does after a set number of tries.
Whose error it was
Once a disagreement is settled, the app works out whose mistake it was from which side changed. It compares the last attempt that failed with the one that matched:
- the tutor's headcount changed, so it was the tutor's error;
- your count changed, so it was a Campus error;
- both changed, so it was both;
- nothing changed, or it has not matched yet, so it is not resolved yet.
The tutor pair is judged separately from the headcount. Reporting splits mismatches into a tutor table and a Campus table on this basis. A tutor loses their leaderboard point for a headcount disagreement unless it was Campus that corrected its count, so a class released with Resolve as admin, where neither side moved, still costs the point. A disagreement about who taught never costs a leaderboard point: that is a roster problem, not a marking one (it does count against Accepted first time in Reporting).
Campus scope
A Campus Experience account can be limited to particular campuses, or left unrestricted. Admins set it on your directory entry.
- Campuses ticked: you only see, count and chase classes at those campuses. This is checked on the server for every read and every write.
- Nothing ticked: every campus. This is a valid setting, not an incomplete one.
If classes you expect are missing from your board, your scope is the first thing to check. Campus Experience accounts see classes from the Monday.com timetable unless an admin has changed which CRM everyone else sees. Needs follow-up only ever lists Monday.com classes.
Campus Experience accounts cannot submit tutor attendance or homework, and do not see Reporting. If you also teach, your marking has to be done from a tutor account, and it cannot be the account that supplies the count for that class.
