Students
Every student you can see, with how often they come, what the team has noticed, and what the next tutor should know. Built for finding the student who needs a conversation before anyone else notices.
Who can open it
Students is for owners and admins only, at every layer: the tab is hidden from everyone else, the address refuses them, and the server answers My Students is restricted to administrators. A profile brings together wellbeing flags and private notes, and who else may read those has not been decided yet. Team Leaders and tutors cannot open it, and the header search only finds students for admins.
Views
The chips under the title choose whose students are listed:
Trialling and Enrolled combine with My classes or My team; tap an active chip again to switch it off. Save this view names and keeps the current search, filters, grouping and sort, in this browser only, with a ✕ to remove it.
Searching
The search bar (Type a name, class, subject or filter…, or ⌘K while you are on Students) finds students by name or email as you type, and offers suggestions:
- Class: a class code.
- Subject: a subject, with 1/2 and 3/4 together.
- Filter: Flagged, Low attendance, Trialling, Enrolled, My team, Everyone.
A chosen suggestion becomes a tag in the bar, with its own ✕. Use ↑ ↓ and ↵ to pick, Esc to close, and Backspace on an empty bar to remove the last tag. Clear resets everything to My classes. Filters are chosen from the suggestions; there is nothing to type out.
The list
Grouped by class, with two or more classes, a row of class cards sits above the list: each class, its size, subject and campus, and a bar showing what share of its students are at or above 80% attendance. Click a card to see only that class; click again to go back.
Each group opens with its class code, subject and campus, a bar and a percentage, and how many students and how many flagged. That percentage is not average attendance. It is the share of the group's students at or above 80%. A student in three classes appears under all three.
A student's row
- Their name, with a coloured dot for an open flag (its colour is the most serious open flag's severity).
- Their other classes, year, school and enrolment status. Year and school come from the Student Accounts board, so they are missing where that board has no row for them.
- Up to their last ten marks as bars, oldest on the left: green present (in person or online), red absent. Not marked yet if there are none.
- Their attendance percentage: red below 70%, amber below 80%, green otherwise.
- Hover for Open profile, Add a note and Email, which opens a Gmail message to them.
Up to 400 students load at a time; past that the page says so and asks you to narrow the filters. Class groups load all their own students when opened.
The list counts attendance from week 1 of the current teaching year (or the last 180 days, if the teaching calendar has no current year). The preview and the profile count it over all time and say so. The same student can show two different percentages, and both are right.
Present means in person or online; the rate is present out of marked. A mark made in the portal is used where there is one, and otherwise the mark on the Monday board. A student is one person however many subjects they take.
The preview
Click a student to open a preview beside the list: their year, school and status; their last ten sessions as bars with P of M marked present, all time; their attendance rate; their latest result, where results are connected; their Student Accounts chips (portal account, kick-off forms); and Worth a look because, when there is a reason, such as Absent 3 classes in a row, Often absent on Mondays, low attendance, or open flags. Then their latest note, and Open profile, Add note and email.
The profile
The full page for one student:
If you teach any of the student's classes, the class figures cover only those, with how many more are not shown; if you teach none, you see all of them. Notes and flags are always shown in full.
Notes and flags
Flags stay in the portal, where only owners and admins can see them. Nothing is sent to Student Success or Campus Operations, whatever the flag window says. For a welfare concern that needs Student Success now, use Report an issue on the class roll.
Notes recorded on a class roll (by voice or typed, admins only) appear on the profile too. The recording is turned into text and not kept.
Exporting
Export, top right, downloads the students in the main list (up to the 400 loaded), under the current filters, as a CSV file that opens in Excel: name, email, classes, subjects, attendance, present, marked, absent, last seen, open flags, and latest result and trend. It carries no notes and no flag text. Once it is a file it is outside every control the portal has, so keep it inside Contour.
